Privacy Policy for Pool Sync

1. Introduction

Thank you for using Pool Sync (the “Add-on”). This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our Google Sheets add-on, which allows users to connect and access their Pool Brain data via the Pool Brain API.

2. Information We Collect

• User Information: The Add-on may temporarily use your email address, which is provided through your Google Account when using Google Sheets. This email is not shared with any third parties and we do not store your this email address in any persistent way, for example in any database or any similar mechanism.

• API Access Data: The Add-on accesses Pool Brain API data based on the your API key. This API key is stored privately within the Add-On and is not shared with anyone, including our development team. The Add-On simply stores the API key for future use.

• Usage Data: We may collect anonymous data related to your use of the Add-on, including usage statistics and error logs, to improve the performance and functionality of the Add-on.

• Your Pool Brain Data: Your Pool Brain data is pulled from Pool Brain and saved to your spreadsheet but is not saved or used anywhere else. None of your Pool Brain data is shared with any third party.

3. How We Use Your Information

We use the information collected in the following ways:

• To provide you data analysis or insights into your data via the Dashboard or KPI sheets.

• To connect to your Pool Brain account and display your data in Google Sheets.

• To provide technical support and resolve issues related to the Add-on.

• To improve and maintain the Add-on’s performance.

4. Data Security

We take your privacy seriously and implement various security measures to protect your data:

• Encryption: All data transferred between Google Sheets, the Pool Brain API, and our add-on is encrypted using HTTPS, ensuring that your data is secure during transmission.

• Limited Access: The add-on only accesses the minimum data necessary for its functionality. Your Pool Brain API key is stored locally within your Google Sheets file and is not shared or stored outside of the Google environment. At no time does anyone, including members of our team, have access to your Pool Brain API key, Pool Brain data, or any data from your Google Sheets, Google Drive, Google Account, or data from any other Google Service.

• Google Security Measures: We rely on Google’s security infrastructure, which includes encrypted storage, robust access control, and strict authentication protocols, to safeguard any data within Google Sheets, Google Drive, and other Google services.

• No Persistent Storage: We do not store any user data, API keys, or Pool Brain data on our own servers. All sensitive data remains within Google Sheets or the Pool Brain platform. Pool Sync acts solely as a tool to connect your Pool Brain account to your Google Account, and all data that passes back and forth is encrypted and unreadable by anyone else, including our team.

• Google Account and Sheets Data: We do not store or retain any personal data from your Google Account, such as your email address or profile information. All interactions with your Google Sheets data are limited to what’s necessary to provide the add-on’s functionality. We do not log or store any data from your Sheets, and the data is only processed within the Google environment.

• Troubleshooting: In rare cases, we may request your consent to log specific information to resolve a technical issue. This would only be done with your explicit consent, and we will ensure that any sensitive data logged is not kept permanently and is used solely for troubleshooting purposes.

5. Data Sharing

We do not sell, trade, or otherwise transfer any personally identifiable information to outside parties within your consent and this only when we need to reach out to a third party like Pool Brain on your behalf for trouble shooting. The Add-on interacts directly with Pool Brain via its API, and the data is never stored on our servers. The data is only ever stored in your Pool Brain account and your Google account, namely Google Sheets, and thus only those who you give access to via the Google Sheets or Google Drive share buttons can see your data.

6. User Controls

• API Key Storage: Your API key is required to access Pool Brain data, and it is stored within the properties of Google Sheets file that you are using. It is not shared with us or any third party.

• Data Deletion: You can revoke the Add-on’s permissions at any time through your Google Account settings, which will prevent the Add-on from accessing your Pool Brain data. You can also remove your API key at any time via the menu.

7. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practices. Any updates will be posted to this page with a revised effective date.
